Information for authors

«Important Notice»
The submission system will be open from February 7, 2022 until March 7, 2022.
The deadline for final paper submission is March 7, 2022 (JST).

- All contributed authors excluding invited authors are required to submit a final 2-page paper of their work for publication in the conference proceedings.
- Papers that do not meet the regulations shown below will not be published in the conference proceedings.
- The copyright of the paper must be transferred to JIEP at the time of the final submission.
- Only the papers submitted by due date will be considered for the conference awards.

1. Before you begin
The authors are highly recommended to use the following template for the best fit with the required IEEE format.

2. Paper preparation

1) Final manuscript must fit in two pages, including figures, tables, and photographs.
2) It is the responsibility of the author(s) to obtain permission from the copyright owner(s) to reproduce figures (or tables) that have previously been published elsewhere.
3) Preparation of IEEE Xplore-compatible PDF file
Final version of 2-page paper pdf files MUST be IEEE Xplore compliant. It is strongly recommended that you use the IEEE PDF eXpress plus site to convert your Word Document file to the PDF format. PDF files that are not IEEE Xplore compliant will not be included in the Proceedings nor published.
3.1 Please go to the IEEE PDF eXpress plus

3.2 Create an IEEE PDF eXpress account for ICEP 2022 by entering the conference ID: 55381X
●New users should follow the appropriate link to fill in the required information for creating a new account.
●Previous users of IEEE PDF eXpress can use their existing email Address and password.
3.3 For each conference paper, click 'Create New Title'.
3.4 Enter identifying text for the paper (Paper Information).
3.5 Upload the required file for generating an IEEE Xplore-compatible pdf.
●Submit your source file in MS Word (.doc) format for conversion to pdf format.

3.6 You will receive the IEEE PDF eXpress-generated pdf file through your IEEE PDF express account. Your paper will get a unique ID code as the file name. Download the pdf file and check it carefully. If necessary, revisions of the source file may be submitted repeatedly.



Information for Oral Session Presenters

ICEP2022 is a Hybrid Conference combining On-site and On-line presentations.
Regular oral sessions (regular presentation sessions) will be carried out in two ways:

1) Real-time presentations and Q&A for on-site presenters. (On-site presentations are also streamed on-line in real time.)
2) Pre-recorded presentation and real-time Q&A for on-line presenters. (On-line presenters will NOT control their presentations. The conference organizer will control the pre-recorded presentations. The pre-recorded presentation will be streamed on-site and on-line in certain session time. After the pre-recorded presentation, on-line presenters will have real-time discussion with on-site/on-line participants during Q&A.)

25 minutes are allotted to each presenter including 20 minutes presentation and 5 minutes Q&A. On-line presenters are encouraged to attend your session for real-time Q&A.

Preparation for oral presentation

- Presenters participating on-site: No pre-recorded file is required. Prepare your presentation file before conference.
- Presenters participating on-line: Create 20-minutes pre-recorded audio (and/or video) in mp4 format. The submitted file will be streamed on-site and on-line at your regular oral session time. The submission system will be open from February 7, 2022. The submission deadline is April 25, 2022 (JST).



Information for Poster Presenters

ICEP2022 is a Hybrid Conference combining On-site and On-line presentations.
Online poster session will consist of the following parts:

- Conference websites for accessing full poster/slide file, and exchanging Q&A (Bulletin board like Q&A system) during conference (May 11 - 13, 2022).
- Short presentation session (maximum 3 minutes, no Q&A) for abstract/summary talk in certain session time.
Real-time short presentations for on-site presenters. (The presentation file needs to be submitted by April 25, 2022. Short presentations from all presenters will be combined into one file in advance for seamless operation of the short presentation session. The short presentation will also be streamed on-line.)
Pre-recorded short presentation for on-line presenters. (On-line presenters will NOT control their presentations. The conference organizer will control the pre-recorded presentations. The pre-recorded presentation will be streamed on-site and on-line in certain session time.)
- On-site regular poster session in person (No on-line streaming) only for on-site presenters and participants.

Preparation for poster presentation

      - On-line poster presenters:
      Provide full poster/slide file in pdf or power point format for on-line poster session. The submitted file will be accessed on-demand by participants via conference website during conference period.
      Provide 3-minutes pre-recoded audio/video in mp4 format for abstract/summary talk. The submitted file will be streamed on-site and on-line in the short presentation session.
      The submission system for the full poster/slide file and the pre-recorded audio/video will be open from February 7, 2022. The submission deadline is April 25, 2022 (JST).

      - On-site poster presenters:
      Provide full poster/slide file in pdf or power point format for on-line poster session. The submitted file will be accessed on-demand by participants via conference website during conference period.
      Provide short presentation file in pdf or power point format. Short presentations from all presenters will be combined into one file in advance for seamless operation of the short presentation session.
The submission system for the full poster/slide file and short presentation file will be open from February 7, 2022. The submission deadline is April 25, 2022 (JST).
      Prepare printed full poster/slide for the on-site regular poster session. There is no template, however it should be within a tack-board panel size (1800mm high x 900mm wide). On-site presenters are encouraged to stay within your poster area during the on-site regular poster session.
